They say if it’s not broken, don’t fix it—but what if there was a more efficient solution? That is exactly how Nick Newquist felt when taking the leap to upgrade his documentation system.  

Having spent three solid years at FYZICAL in Phoenix, AZ, succeeding with WebPT’s legacy documentation solution, Nick and his co-workers started hearing about the benefits SOAP 2.0 could have on their day-to-day grind. After evaluating the pros and cons, the decision was clear. FYZICAL promptly contacted WebPT and enrolled in the upgrade process. 

The Challenge

Nick candidly admitted, “I’ve always thought you can’t teach an old dog new tricks.” Embracing change—especially at work where you’ve got your routine down pat—isn’t always a walk in the park. To successfully upgrade your documentation software, you have to overcome that mindset. 

Every rehab therapist will tell you that the endless charting and paperwork that comes with the territory is the most tedious part of the job. The team at FYZICAL saw that a bit of help could go a long way in tipping the scales toward a better work-life balance, less burned-out staff, and happier patients—making the juice of upgrading to SOAP 2.0 worth the squeeze.

The Solution

Before taking the leap, Nick and his team looked at one another and said, “If we’re going to do this, then let’s do it. We can’t go in 50%; we’ll need to commit to the process.” Their practice took the initiative to familiarize themselves with educational materials like it was their very own home exercise program, and they collaborated with WebPT’s implementation team throughout the process.  

WebPT’s implementation team helps Members transition at a pace that works for them. Since the upgrade is simpler than the usual switch to a new EMR, Members can ease into it without any jarring changes. They have the option to keep charting their existing patients using the legacy software while initiating new patients on SOAP 2.0. 

Through regular check-ins and comprehensive training, FYZICAL’s clinicians found their groove with the new system in just a few weeks. They were all in from the beginning, aware that the payoff would match their efforts. Nick appreciated the ease of the upgrade, affirming,

Results

WebPT upgraded the documentation software with a core goal: to reduce burdensome documentation so therapists can spend more one-on-one time with their patients. Nick noticed these improvements almost immediately, expressing, 

“Within the first two to three weeks, I’d come out of an evaluation and look at a coworker and say, wow, I’m 80% done with that evaluation, as opposed to if I got to 50% done with the previous charting, it felt good.”

He further elaborated on the improvements of this efficiency, saying, “The time-saving aspect has also paved the way for more thorough documentation.” Nick explained, “I no longer need to skimp on details to save time for patient interactions, so my notes have grown richer since upgrading.” The upgrade not only streamlined charting but also improved the look and feel. “Our notes now exude a professional touch, something I am proud to put my signature on and share with doctors,” Nick pointed out. 

One of the spotlight features for Nick was the ability to load multiple profile templates into an evaluative note. These profiles empower therapists to pre-populate multiple sections of a note—like objective tests, exercises, goals, and CPT codes—for common diagnoses, body regions, or payers they frequently treat. “This feature alone single-handedly elevated our efficiency and is where I am making up 90% of my ground-saving time charting. And it wasn’t even a problem I thought I had, but now I realize it’s a true game-changer,” Nick said.  

Change is never easy—especially in a professional setting. So, we finished by asking Nick what advice he had for any Members questioning upgrading to SOAP 2.0. He reassured them, saying, “It seems a lot more intimidating than it is. If you immerse yourself in it and play around with it for a few days, you’ll be up to speed in no time. You just have to give it a chance!”
